Challenge
A complex global AP environment hitting its automation ceiling
The client operates one of the largest and most complex global finance environments in the world, processing vast volumes of supplier invoices across categories, geographies, and markets. Recognizing the need for a more intelligent, automation-led accounts payable (AP) model, the company set out to move beyond legacy approaches that were no longer keeping pace with its scale.
Despite prior automation investments, the AP process had hit a structural ceiling. Manual intervention prevented end-to-end, touchless invoice posting in SAP. Low optical character recognition (OCR) accuracy meant teams spent significant time on validation, classification, and routing – effort that added limited strategic value. The organization also lacked the tools to track exceptions dynamically across the invoice lifecycle or to surface proactive insight into bottlenecks and performance gaps.
The result: increased cycle times, constrained scalability, and reduced overall AP efficiency. The client knew it needed a smarter approach – one that fixed the problem at the source rather than adding layers on top of a broken foundation.
Solution
Embedding intelligence at the point of invoice intake
The client partnered with Genpact to deploy Genpact AP Capture, part of the broader Genpact AP Suite. Rather than retrofitting automation onto existing workflows, Genpact embedded intelligence directly at the invoice intake stage – the point where quality issues originated.
Genpact AP Capture combined deep finance expertise with agentic AI to classify, enrich, and transform invoice data before it entered SAP. The solution automated data extraction and enrichment, improved document understanding, and reduced the manual validation effort that had long burdened the AP team. Critically, it operated natively within the client's SAP-centric ecosystem, designed to integrate with existing infrastructure with minimal disruption.
AI-powered document classification and intelligent routing reduced misclassification and downstream rework. Enriched invoice and supplier data became the system-ready input for SAP posting, supporting upstream activities such as purchase order (PO) matching and tax handling. Agentic AI supported intelligent decision-making within workflows, enabling a shift from OCR-dependent automation to a truly exception-focused AP model – one designed for enterprise-grade scalability.
Impact
Faster, smarter, and more transparent AP operations
The new approach delivered measurable results. Invoice processing cycle time dropped from more than three days to under one day, and the client achieved up to 80% touchless invoice processing – a significant improvement in productivity driven by reduced manual effort and intelligent automation. The cost per invoice processed fell accordingly.
Beyond the numbers, the impact was felt across the entire AP ecosystem. Suppliers experienced faster turnaround and greater transparency. Internal buyers benefited from reduced operational friction and improved confidence in invoice accuracy. Exception handling, once reactive and opaque, became structured and visible.
The success of this engagement came down to a clear set of decisions: tight SAP integration, a deliberate focus on intake-stage intelligence rather than downstream correction, and a commitment to exception-based workflows over manual handling. By moving automation upstream and embedding intelligence directly into the process – rather than layering it on top – Genpact AP Capture enabled the client to transition from a document-processing function to a strategic, agentic AP operation built for global scale.
